1. PURPOSE OF THE JOB

Work as part of a team to provide centralised financial analysis, control and reporting for all Cash, P/L, Support and Project aspects of the Technology budgets and expenses on a global basis, and to work closely with Local and Global Finance Departments on specific initiatives to improve co-ordination. We further provide support and advice to Technology staff on financial matters relating to Projects and Support Services.

Working closely with the other team members under the operational guidance of the Head of Financial Management and Independent Control, this role is expected to contribute to analyse, control and disseminate robust financial and resource information to Technology project / service owners and cost centre managers.

In addition, the role is expected to provide Technology senior managers with forecasting tools and executive dashboards to facilitate effective decision making leveraging the Apptio application recently acquired while reviewing the existing tools and processes used to automate and improve the working environment and reporting.

The role is also expected to provide accurate and timely financial information for AXA Group mandatory reporting and external Benchmarking.

2. KEY TASKS

- Financial Analysis

Analysis and reporting of Actuals, Forecasting and Variance Analysis

    Analyse monthly actuals for Technology and provide a commentary on main variances and analysis on trends.
    Track all variances and provide cost centre managers, managers responsible for services with concise and clear detail to enable them to understand the financial for their perimeter.
    Using trend analysis, analyse each cost centre expense, service expense for monthly consistency and work with Finance to identify and rectify errors.
    Provide accurate forecasts on Support financials and work with relevant Technology staff.
    Ensure timeliness and accuracy of Budget and Forecast submission to Finance
    Ensure timeliness and accuracy of Technology monthly reporting on budgeted vs actual Technology Support financials
    Ensure timeliness and accuracy of forecasting and reporting to Technology Management and GSOF Management
    All the above will be defined as a control as part of the Financial Control and Reporting 2nd Level Control Plan and tracked as a set of mutually agreed

Budget Management

    Perform the budgeting and forecasting with all related approval activities, under the supervision of the Head of Financial Management and Independent Control.
    Prepare and participate to executive presentations of budgetry information and evolutions to senior management
    Provide Finance with Budgets and Forecasts in a timely manner accompanied by evolutions since the previous version concisely and clearly, after review and agreement with senior management

Services

    In conjunction with the Head of Financial Management and Independent Control, review the Service Drivers for accuracy, applicability and additional transparency on a quarterly basis.
    In conjunction with the Head of Financial Management and Independent Control, ensure adequate preparation of the quarterly Service Boards.
    Track the total cost of ownership of the project portfolio and specifically the impacts on the services portfolio.
    Provide Apptio expertise within the team and mentor Technology staff responsible for services in the use of the application.
    Provide Business Relationship Managers, Business Service Managers and Service Owners with scenario analysis on their service portfolio
    As determined by the Service Board and Technology Board, commission/ decommission support services appropriately and ensure implementation within Apptio.
    As part of a team, provide Technology and GSOF Management with information and guidance on all aspects of financial management.

- Project Portfolio Management

In conjunction with other team members (and as a back-fill of 1 FTE seconded outside of AXA IM Technology until end of February 2014 who was in charge of the project portfolio), the candidate is expected to take responsibility for a given perimeter within Technology as a “Technology Champion” and perform the following:

    Actively track the financials on a project by project level on a monthly basis for a defined perimeter.
    Understand the current status, planning and project life cycle for each project through interactions with the respective project managers and Technology management and thus providing expertise on any project financials related matter for the defined perimeter.
    Perform accurate and timely manner the annual project budgeting
    Analyse and track capitalisation and depreciation aspects of the Technology project budget
    Perform accurate and regular project forecasting and work with team members to enhance the forecasting capabilities for projects.
    Work with other Technology teams to enhance “strategic” project planning capabilities to help optimize the delivery of the project portfolio delivery
    Perform level 2 controls as defined below and report to on the results of the analysis (e.g. from project forecast quality reviews)

At the end of the secondment of the current Project Portfolio Manager, the above outlined responsibilities will be re-adjusted to fit the overall team structure.



- 2nd Level Control & Monitoring

    In conjunction with the Head of Financial Management and Independent Control, develop a flexible annual 2nd level control plan on Support (services and financials view) and Project financials, taking into account any risk or control concerns identified by colleagues and operational management and/or any other relevant person or committee.
    Implement, monitor and report on 2nd level control environment on both projects (e.g. on project forecast quality of a sample of projects) and support to monitor the effectiveness of all level 1 operational controls within Technology.
    Proactively track the status of issues raised during the course of the control reviews with the issue owners and issue timely and periodic updates to the Technology Management Board.
    Provide monthly updates to the Global Head of Financial Management and Independent Quality Control summarising the results of the Financial

3. QUALIFICATIONS, EXPERIENCE & SKILLS REQUIRED

Qualifications

- Degree or similar qualifiction (bac+5 or equivalent, for France)

Experience

- Significant experience in a global Financial organisition specialising in IT Organisation and AdministrationSolid experience of dealing with budgets in the range of >€100m (Accountancy experience not required)

- Significant experience of understanding accounting systems from Management Accounting to General Ledger entries, and accounting processes

- Operational experience of dealing with change i.e. changes in organisations, changes in perimeter, changes in responsibilities

- Significant experience within Information System organisation will be suitable to understand the specific reporting requirements of a Technology department.

- Understanding of Activity Based Costing methodologies.
